Offices located in Melbourne's CBD, our client is on the lookout for a dynamic and organised  Team Administrator  to join their growing team. In this role, you will be a crucial support member, working closely with our senior team to ensure the smooth day-to-day operations of the office. 
 
THE ROLE:
 
As a Team Administrator, you will be responsible for providing Directors, teams, clients, and stakeholders with full administrative and operational support. The role will assist the team/s to work effectively and efficiently, to deliver exceptional client service and meet team and business goals.
 
RESPONSIBILITIES:
  • Collaborate with the team, Directors, and Finance to complete monthly client billing, including preparing, reviewing, adjusting, and sending client bills.
  • Manage all correspondence, including drafting and reviewing client communications and processing incoming and outgoing mail.
  • Prepare correspondence, client packages, reports, proposals, tenders, and other documentation on behalf of the directors and team.
  • Provide calendar support, including booking meeting rooms, catering, and preparing meeting materials.
  • Coordinate and administer meetings, including agenda preparation and client greetings.
  • Lead the onboarding and offboarding of new clients and team members.
  • Support business development activities, including proposal creation and reporting on referrals, wins, and losses.
  • Coordinate team administration and engagement activities, client functions, and events
 
SKILLS AND EXPERIENCE:
  • Experience working in a Team Administrator or Assistant position is essential 
  • Previous experience working within Professional Services 
  • Experience completing billing is highly regarded 
  • Ability to collaborate effectively with other departments and colleagues
  • Ability to communicate effectively both written and verbally
  • Experience working within fast paced environments with the ability to be adaptable to competing demands
  • High attention to detail with demonstrated initiative and problem solving skills
