This is a permanent opportunity within the Projects & Real Estate team of a large, well-regarded commercial law firm. Known for its high performance and collaborative working style, the team supports clients on large-scale infrastructure projects and major property developments.
You will work closely with two Partners in the construction space and their wider legal team, ensuring efficient workflow across document production, billing, scheduling, and client communications. The environment is fast-paced but supportive — a good fit for a confident, adaptable candidate who takes pride in being dependable and proactive.
Te whiwhinga mahi | Key Responsibilities
- Preparing and amending documents, correspondence, and reports
- Opening and closing files, updating client records and CRM systems
- Monthly billing support, including time recording and WIP management
- Diary and travel coordination for Partners and team members
- Acting as a liaison point between clients, legal staff, and internal teams
- Supporting workflow continuity and file management during quiet periods
- At least three years’ secretarial or administrative experience (legal, property, or professional services preferred)
- Strong MS Office skills and familiarity with document management systems
- Excellent attention to detail, discretion, and written communication
- Proactive mindset and the ability to manage competing priorities independently
- A professional, personable manner and ability to work well in a team
- Previous experience with billing systems or WIP processes would be advantageous
